The Office Manager is the glue that ensures the seamless operation of the company. From assisting with inbound phone calls, event planning, office logistics, space planning, and executive assistant duties, the role brings lots of variety and problem-solving challenges to help a fast-growing startup. We are looking for a dynamic self-starter with strong organizational and administrative skills that will ensure everything runs smoothly and efficiently. This role will suit someone with a people-focused, optimistic approach and who wants to play a key role in creating/maintaining a vibrant and engaging workplace! 


What You’ll Do:

  • Provide excellent first impression to visitors, clients, prospects, and supplier partners, supporting their office visits as needed

  • Designs and implements office policies by establishing standards and procedures, and making necessary adjustments.

  • Arrange maintenance of the office and equipment including cleaning, maintenance, and repairs, and approve facilities supplier invoices

  • Coordinate off-site and office visits for staff, including leadership meetings from room setup to catering coordination and room breakdown

  • Provide clerical support to assist staff with assigned administrative duties such as answering phones, collecting and distributing mail, and preparing documents

  • Maintain an inventory of office supplies; order and/or procure new supplies as needed

  • Maintain office files in an efficient system for other staff to access files and records

  • Support the executive team as needed

  • Perform other related duties as assigned


What You'll Bring:

  • Ability to read, write, and communicate effectively with other employees, vendors, contractors, business partners, and customers

  • Demonstrate proficiency in word processing, spreadsheets, Google docs, applicable tracking systems, and database management programs

  • Excellent time management, ability to organize and prioritize tasks to avoid unnecessary escalations

  • Excellent mediator, capable of resolving unforeseen obstacles before they escalate.

  • Handles all responsibilities in a professional manner and is accountable for their actions
